is a secret that determines whether you will be able to manage your
time to advance your career, or not. It is a secret
that has the power to prevent you from ever having to get to the end of
day asking yourself “Where did the day go?”
Mistakes like I used to make. I’d let important items stay on my ‘to do’ list for WEEKS (and everyday when I looked over my ‘unfinished’ tasks it was like groundhog day!) – all because I didn’t “feel like” doing them. I’d let people interrupt me with what THEY wanted me to spend my time on. I’d allow myself to ‘wear a number of hats during the day’ and work on a number of projects, trying to be all things to all people and not know what was most important to focus on and what I could cut out. If someone didn’t get me what I needed, I’d get all frustrated. I’d react emotionally and not be able to concentrate for minutes or hours. (And if I worked for people who had a temper, I would get intimidated and flustered by them and try to prevent them from being angry with me, even if it meant I got “off my game”) I’d put things off til the last minute rationalizing I do my best work “under pressure I could go on and on. I thought I was alone in squandering my precious time. But then I noticed that my clients and program participants reported the same behaviors. And I began to see a pattern: Even though they said they needed to “focus” and “manage their time” better, they rarely talked to me about how they spent their time. They talked to me about everything BUT managing and scheduling their time. Let me fill you in on what they WERE telling me about and worrying about. I’ll use a quote by Stephen Covey to make it short and sweet: “Time management is a misnomer, the real issue is to manage ourselves”. The idea is that even though time management gurus are telling you good tips, they are telling you the easy part! They are leaving out the MOST important part of the time management equation. They tell you how to schedule and block your time. They tell you how to group things together so you can be efficient. They tell you how to organize your stuff. Great. Truly helpful. However, the one catch is those techniques are only as good as the person using them (that would be you!) It makes me a little mad that they’ve left out the KEY ingredient to your success – the part about how you MANAGE YOURSELF. Whether or not you spend your time taking action to move your life forward has little to do with what is written in your schedule, and everything to do with how you think, feel, and act in each moment of time. You can have all the best intentions written into your schedule, but when it gets to the time for you to sit down and write the email or make the call, whether you do it or not is up to how you manage yourself. You can have a block of time scheduled to check your emails, but if you just had an annoying interaction with a difficult person, you are going to lose 15 minutes obsessing about it before you can get through answering your emails, etc. You can have time blocked off to be with your family, but if you are feeling worried about things happening at work, then you can’t be present with them and you can’t fall asleep right away in order to be awake at work the next day. The time management gurus haven’t intentionally left out this information. They aren’t deliberately trying to keep your time slipping away from you. It's just that they don’t know the best ways to teach you how to ‘manage yourself’ either. They don’t know how to teach you to motivate yourself to get started when you feel like putting it off. They don’t know how to teach you to recover quickly from your upsets, to get clear on what you want, to stop being overwhelmed, or to communicate better with people who interrupt you. They may not be aware either that there are hidden components behind why you’re not more productive, and that you can root these out starting with just one discussion. Yet if you don’t know how to “manage yourself (and other people who interrupt you)” you will likely be wasting precious time everyday. Once I discovered the secret that what I needed to focus on was managing myself, that’s when everything about my productivity changed. That’s when my coaching business nearly doubled and I was able to launch 5 new LIVE programs and develop 2 new products in a year. I started speaking several times a month, writing a few different blog posts, and a book. It also enabled me to go to networking events that previously I thought were “above my level”. The best part was not to have that feeling of guilt hanging over my head. I want to share my discovery with you so that you can end your wasting time forever and achieve your potential too. Let’s start by seeing if you are making these time wasting mistakes because of the way you “Manage Yourself”: MISTAKE #1 - You spend valuable time seeking the approval and validation of other peopleIf you are like many people, you kind of know that you seek other people’s approval, but you may think its just a personality issue that has nothing to do with how you spend your time, and in any case you are probably ‘working on being more confident’ so its bound to get better over time. I want you to appreciate that your doubts about yourself and worries about ‘what other people’ think will set you up to do time wasting behaviors you don’t even realize you are doing. Here are examples I heard from my workshop participants in the last 2 weeks:

MISTAKE #3 - You think you have no control over having too many things to do.
If you have ‘too many things to do’, its a good sign that you probably have a lot of talents and interests, and have a lot of good responsibilities. But it also means that you are not as clear as you could be about what is REALLY most important to your effectiveness. If you are in business for yourself, it means you have an opportunity to be more clear about your business model and where to focus your efforts for the greatest revenue; If you work in an organization, it means that you/your team/your boss have not engaged in enough strategic thinking to identify the best direction, the best use of resources, who ‘owns’ what deliverables, etc.
The reality is that we tend to get bogged down and then its hard to see the forest for the trees. Every single time I have worked with workshop participants to gain greater clarity on the highest and best use of their unique talents, as well as their sense of purpose, they have freed up hours in their week.

MISTAKE #4 - Believing that its up to ‘other people’ to stop being difficult or interrupting you
“I have a difficult client (or assistant, or boss, etc.) in my life. I waste so much time thinking about the situation, playing it over and over in my mind - blaming them for being so aggravating; talking to them in my mind telling them how they ‘should’ act differently; wishing that they would just finally see what I need from them and give it to me - or just leave me alone”. (time wasted: on average 30 -60 minutes a day)
One of the things I hear most often is how much time (and energy) business professionals waste thinking and talking about how to deal with difficult people. What ends up happening – either you ask the person a number of times to do things differently and they don’t (so you feel like you just have to ‘live with it’) or else you aren’t in a position to ask the person to stop being so difficult (ie. If they are your boss). You get stuck being frustrated and upset. You spend a lot of time trying to figure out what will make them stop being that way so you can get on with your life and reach your goals. You probably take it personally or end up thinking that its your fault.
I know, I’ve been there. But I can tell you that there are ways of getting ‘difficult people’ to act in a way that supports the goals you are trying to achieve, you just have to know the RIGHT way to approach them. You just have to figure out how to make it in their best interest to act the way YOU want them to act.
